Privacy Policy

VoiceLlama is an AI phone receptionist for small businesses. This policy explains, in plain language, what information we handle and why. In this policy, "VoiceLlama", "we" and "us" mean the operator of the VoiceLlama website and service.

It applies to website visitors, account owners, people who call a business that uses VoiceLlama, people who submit a contact or lead form, and people who have consented to receive text messages.

Who we are and how to reach us

The service is operated under the name VoiceLlama. You can reach us about privacy questions or requests by email at hello@voicellama.ai, or by using the Contact button on our homepage.

Information we collect

Depending on how you interact with VoiceLlama, we may handle:

  • Account data: your email address and details needed to set up, sign in to and run your account.
  • Business profile data: the business information, knowledge and website facts that account owners give us so the receptionist can answer accurately.
  • Contact and lead form submissions: names, email addresses and phone numbers that people submit.
  • Voice conversation data, when the feature is enabled: call audio, transcripts, summaries and caller details such as a name, phone number and the reason for calling.
  • SMS data: phone numbers, message content, the time and record of SMS consent, and test delivery information.
  • Technical data: IP address, device and browser details, cookies, session information and usage logs.

How we use information

We use information to provide and operate the service; to sign people in and keep accounts secure; to send notifications an account owner has asked for; to receive and respond to inquiries; to detect fraud, abuse and safety problems; to troubleshoot and improve the service; and to meet legal requirements.

Callers and our business customers

When a business uses VoiceLlama to answer its calls or collect form submissions, we process caller and form data on that business's direction. The business that owns the form or phone number can see its own customer records.

If you called a business that uses VoiceLlama and want to ask about your data, you can contact that business directly. You can also contact us and we will help route your request.

How information is shared

We share information with service providers that help us run VoiceLlama, and they receive only the data they need to do that job. Depending on the features in use, these include:

  • Infrastructure providers help host the service, store data and support security and reliability.
  • Account services support sign-in, account access and account security.
  • Phone and voice services connect calls and support voice conversations, recordings and transcripts where enabled.
  • AI processing services support automated responses, call summaries and extraction of information from conversations and forms where enabled.
  • Communication services deliver email notifications and, only when enabled and consent requirements are met, text messages.
  • Payment services process payments and support billing for paid features.

Provider processing is subject to applicable agreements and provider policies. Data handling, retention and AI model-training practices may vary by service and feature. We do not promise that all providers exclude data from model training or automatically delete provider-held data. Contact us with questions about how providers handle information for a particular feature.

We may disclose information when the law requires it, to protect rights and safety, or as part of a business reorganization such as a merger or sale, with appropriate safeguards.

We do not sell personal information and we do not share it for third-party advertising.

SMS privacy

Availability notice: VoiceLlama SMS follow-ups are available only when explicitly enabled after consent and compliance steps are complete. Today, SMS is limited to development testing. Publishing these pages does not turn on text message sending, and automatic customer follow-ups, hosted SMS consent forms and an inbound SMS inbox are not live.

This section covers text messages sent through the VoiceLlama SMS follow-ups program.

  • Consent first: we collect and keep proof of explicit SMS consent before any follow-up text is sent. Phone verification, signing up for an account, or calling a number is not consent to receive texts.
  • Purpose: messages are non-marketing follow-ups related to a call or inquiry the person made, sent after opt-in and only when the feature is enabled. An owner-requested one-off test message is a separate, current development feature.
  • No sharing for marketing: mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in and consent data will not be shared with third parties for marketing.
  • Messaging providers: this data may be processed by the messaging providers necessary to deliver and operate the program, solely for that purpose.
  • Opting out: you do not need to sign in. Reply STOP to the sender that texted you. Reply HELP when the program is enabled, or contact us at hello@voicellama.ai for current help.
  • Message and data rates may apply.

Retention

We keep information for as long as it is needed to provide the service, meet compliance obligations and maintain security. We do not promise automatic deletion after a fixed period. Call recordings may remain with the voice provider until they are removed under that provider's or the customer's retention controls.

Your choices and rights

You can ask to access, correct or delete your information by emailing hello@voicellama.ai or using the homepage Contact button. We may need to verify your identity manually, and we may keep records we are legally required to keep.

Depending on where you live, you may have additional rights under applicable law. We will respect mandatory legal rights. We do not currently offer a self-service privacy portal.

Cookies and technical data

We use cookies and session technology to sign you in, maintain your session and keep accounts secure. We also use technical usage logs to operate and troubleshoot the service. We do not use this information for third-party advertising.

Where information is processed

Our providers process information in the locations where they operate, which may include the United States and other countries, as applicable to each provider.

Security

We use reasonable safeguards, but no online service can guarantee absolute security. We do not claim any security certification.

Children and sensitive information

VoiceLlama is not directed to children under 13, and account owners must be at least 18. Please do not submit sensitive information such as health details, payment card numbers or passwords through calls, forms or text messages.

Changes to this policy

We will update the date at the top of this page when the policy changes, and will notify people of material changes in an appropriate way.
