Property management

Property management answering without the scattered maintenance messages.

Know which property, which unit and what the tenant is asking for.

A voicemail saying “the tap is still leaking” is not much help when you manage several buildings. VoiceLlama can collect the property, unit, reported issue and callback details in one conversation. Your team reviews the request, decides its priority and coordinates the response through your existing maintenance process.

A maintenance message your team can work with.

  • 01

    Identify the right property

Ask for the building and unit before collecting the issue. Keep similarly named properties distinct and verify important location information when a person follows up.

  • 02

Record the request, not a repair promise

Collect what the tenant noticed and when they noticed it. Do not tell them that a contractor has been assigned, a ticket has synced to a CRM or a repair will happen at a particular time.

  • 03

    Respect access and privacy

Use an approved process to arrange entry later. Keep access codes, passwords, payment data and unnecessary personal information out of the intake questions.

How a call becomes a usable lead

  1. 1

    Set the maintenance boundary

Tell the agent what it can capture and what belongs on a separate emergency line. Share that distinction with tenants before they rely on the service.

  2. 2

    Collect consistent details

Use the same property, unit, issue and contact questions across your configured flow so a manager can review messages more efficiently.

  3. 3

    Assign responsibility outside the AI

A named team member reviews incoming messages and coordinates the next step. A summary does not prove anyone has acknowledged or resolved a request.

Limitations to know before you start

  • VoiceLlama is not an emergency maintenance hotline or monitored dispatch service. Keep a separate, clearly communicated emergency route.
  • Live property-management-system sync and automated repair assignment are not promised. Do not assume tenant identity has been verified by a conversation.
  • Starting setup is quick; live coverage depends on your account, number provisioning, published agent and a tested forwarding route. Carrier support varies.
  • Available summaries and transcripts can be reviewed in your account. Email recaps depend on notification settings. Customer SMS delivery is not active.

Make the next maintenance callback less of a guessing game.

Start with one property intake example, test the details your manager receives and confirm the escalation boundaries before going live.
